Have you ever experienced confusion when gathering and interpreting requirements? Have you found two stakeholders in a meeting using the same term but referring to different concepts? Perhaps you’ve identified an issue stemming from a misunderstanding of a business term? Or noticed that certain metrics hold varied meanings for different individuals?

All these scenarios might indicate the absence of a business glossary document. A glossary serves as a compilation of business terminology and acronyms, complete with definitions. It fosters a shared understanding of terms, concepts, and metrics across the organization. Ideally, this document should be maintained at the enterprise level, accessible to all departments and projects. As a foundational component of data governance, a glossary ensures consistent definitions of data across the board.

Unfortunately, you may find that no enterprise glossary is in place. Upon initiating business analysis for a new project, you may realize that terminology is inconsistent, with departments using their own acronyms, leading to widespread confusion. This situation can severely hinder project progress. Without a unified understanding of fundamental business concepts, the quality of requirements will inevitably suffer. So, what steps can you take?

Creating Your Glossary

The first step is to begin compiling a glossary. Whenever you encounter a term, inquire about its meaning, document it, and validate it as soon as possible. When incorporating new elements into the business models developed for the project, evaluate each label—should it be defined in the glossary? Avoid using random terminology in diagrams.

Most importantly, circulate your draft glossary right away and utilize it consistently in all meetings, analysis endeavors, and as a reference for project documentation.

Tools for Glossary Creation

The good news is that you don’t need specialized tools to create a glossary. A straightforward spreadsheet is sufficient for most projects. If, in the future, a more advanced tool like a data governance platform becomes available, you can migrate your glossary there. Until that time, a spreadsheet will suffice.

The primary advantage of using a spreadsheet is that it is widely understood and familiar to everyone. Encourage your stakeholders to contribute to its development, updates, and corrections.

  • COTS (Commercial Off-The-Shelf) gap analysis, aiding in the mapping and configuration of terms for COTS products.
  • Defining elements and dimensions necessary for reporting and dashboard requirements.
  • Documenting business processes to clarify terminology, roles, triggers, and factors affecting workflows.
  • Outlining source and target elements for data migration analysis.
  • Identifying predictive factors and target outcomes for predictive analytics.

Regardless of your role—be it business analyst, project manager, architect, or business expert—if your organization lacks an enterprise-wide glossary, start small with your project and expand from there!
